Privacy Policy

Last updated: August 10, 2026

Doctor Lead Flow LLC ("Doctor Lead Flow," "we," "us," or "our") operates the website at doctorleadflow.com and its subdomains, including marketing.doctorleadflow.com (the "Site"). This Privacy Policy explains how we collect, use, share, and protect your information when you visit the Site, submit a form, book a call, or communicate with us through any channel — including our automated chat and voice assistants.

Automated (AI) communications notice. When you interact with us by web chat, SMS, phone, or messaging apps (including Facebook Messenger and Instagram), you may be communicating with an artificial-intelligence chatbot or AI voice agent rather than a live person. These automated systems, and the phone calls, text messages, and chat sessions you have with us, may be recorded, transcribed, monitored, stored, and processed — including by third-party AI providers — to schedule appointments, respond to inquiries, improve our services, and maintain records. By continuing to communicate with us through these channels, you acknowledge and consent to this recording and processing. If you do not consent, do not use these channels and instead contact us in writing at the address below.

Information We Collect

When you submit a form, book a strategy call, or communicate with us, we may collect:

We also automatically collect standard technical and usage data when you visit the Site, such as IP address, device and browser type, pages viewed, referral source, and interactions with our ads, through cookies and similar technologies (see "Cookies & Tracking" below).

How We Use Your Information

Legal Basis for Processing (GDPR)

If you are in the European Economic Area or the UK, we process your personal data on one or more of the following grounds:

SMS, Calls & Marketing Consent (TCPA)

By providing your phone number and submitting a form, requesting a call, or opting in, you give your prior express written consent to receive calls and text messages from Doctor Lead Flow and its automated systems (including AI voice agents and autodialed or pre-recorded messages) at the number provided, for scheduling, informational, and marketing purposes. Consent is not a condition of purchase. Message and data rates may apply, and message frequency varies. You can opt out of texts at any time by replying STOP, or get help by replying HELP. To opt out of calls or other marketing, contact us at the email below.

Cookies & Tracking Technologies

The Site uses cookies, pixels, and similar technologies — including the Meta (Facebook) Pixel, Google Tag Manager, and analytics and attribution tools — for functionality, analytics, and advertising (including retargeting and conversion measurement). You can disable non-essential cookies through your browser settings or applicable opt-out tools. Where required by law, we will request your consent before setting non-essential cookies.

How We Share Information

We do not sell your personal information. We may share it with trusted service providers who help us operate our business, under contracts that require them to protect your data, including:

We share only what a provider needs to perform its function. These providers are bound by contract to protect your information, to use it solely to provide services to us, and not to sell it or use it for their own purposes.

We may also disclose information to comply with the law, enforce our agreements, or protect the rights, property, or safety of Doctor Lead Flow, our clients, or others, and in connection with a business transfer (such as a merger or acquisition).

Prequalification & Credit Information (FCRA)

On occasion we use a third-party system, LeadFi, to run soft credit checks and financial prequalification. This happens only where it is relevant to the service being provided and only for legitimate business purposes permitted under the Fair Credit Reporting Act (FCRA).

Data Retention & Security

We retain your information for as long as necessary to provide our services, maintain records, and comply with legal obligations, after which we delete or de-identify it. Retention periods are set by the purpose the data was collected for, how long we have an active or prospective relationship with you, and any legal, tax, or dispute-resolution obligation that requires us to keep it. In general: enquiry and marketing records are retained for up to 24 months after your last interaction with us; call and chat recordings and transcripts for up to 24 months; and client engagement records for the duration of the engagement plus 7 years where required for tax and accounting purposes. We use reasonable administrative, technical, and physical safeguards to protect your information — including encryption in transit (TLS), access controls and least-privilege permissions on the systems that hold your data, and vendor agreements that require comparable protection. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

International Data Transfers

We are based in the United States and our service providers are primarily located there. If you access our services from outside the United States — including from the EEA or the UK — your information will be transferred to, stored in, and processed in the United States, which may not offer the same level of data protection as your home country. Where we transfer personal data out of the EEA or UK, we rely on appropriate safeguards, including the European Commission’s Standard Contractual Clauses and, where relevant, the UK International Data Transfer Addendum. You can request a copy of the safeguards we use by contacting us at the address below.

Your Rights & Choices

Depending on where you live, you may have some or all of the rights below. We will not discriminate against you for exercising any of them — you will receive the same service and pricing either way.

If you are in the EEA or the UK (GDPR), you have the right to access your personal data; to have inaccurate data corrected; to have your data erased; to restrict or object to processing, including profiling and direct marketing; to data portability; and to withdraw consent at any time. You also have the right to lodge a complaint with your local supervisory authority.

If you are a California resident (CCPA/CPRA), you have the right to know what personal information we collect, use, disclose, and share and the categories of sources and recipients; to request deletion of your personal information; to correct inaccurate personal information; to opt out of the sale or sharing of personal information; to limit the use of sensitive personal information; and to non-discrimination for exercising these rights.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising as those terms are defined by California law. Because we do not sell or share personal information, we do not offer a “Do Not Sell or Share My Personal Information” link. If this ever changes, we will update this policy and provide that mechanism before doing so.

To exercise any of these rights, email [email protected] with the request and the email address or phone number you used with us. We may need to verify your identity before responding, and we will reply within the timeframe required by applicable law. You may also use an authorized agent where the law permits it.

Children

The Site and our services are intended for business owners and are not directed to individuals under 18. We do not knowingly collect personal information from children.

Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent version, and your continued use of the Site after changes are posted constitutes acceptance of the updated policy.
